Spring/Summer 2012 Registration Information

Registration for Spring Summer 2012 will begin March 5, 2012.

Registration Policies & Procedures

Students should submit their completed registration forms for all courses to the Registrar by 5pm on the specified registration deadline for the trimester. (Please refer to the Academic Calendar for applicable dates and deadlines.)

Students who would like to register for courses without meeting their pre- or co-requisites must meet with the Academic Dean to have their class registration form approved.

Late Registration

Students are not officially registered for a course and will not be permitted to attend classes until the Bursar receives tuition payment for the class. Deficient attendance resulting from failure to pay tuition will not be excused. Students who submit late registration forms will be assessed the following fees:

• $100 from the close of registration through the end of the 1st week of the new term

Registration forms will not be accepted after the first week of the term.

Class Changes & Cancellations

AIMC Berkeley takes every measure possible to maintain the highest quality in our academic and clinical schedule every term. AIMC Berkeley therefore reserves the right to change instructors, faculty, or courses, including the content of courses, based on its view of the needs of the acupuncture profession and/or the needs of the school. AIMC Berkeley reserves the right to cancel a class if an insufficient number of students enroll, in which case students
enrolled will receive a full refund of any tuition and fees paid toward that class. AIMC Berkeley also reserves the right to suspend, cancel, or postpone a class or classes in the event of unavoidable occurrences (e.g., natural disasters, etc.) that limit access to or use of the facilities.

Adding, Dropping & Withdrawing from Classes

Adding: Classes may be added any time before the end of the second week of scheduled classes. Payment for added classes will be due no later than the first day of classes or immediately upon receipt of the request to add.

Dropping: Lecture classes may be dropped for a full refund of tuition before the end of the second week of scheduled classes. Classes dropped within the specified time frame will not appear on a student’s transcript.

Withdrawing from Classes

Classes dropped between the second and seventh week of the trimester will be recorded on the student’s transcript with a grade of “W.” Tuition refunds for these classes will be prorated
based on the date that the drop form is received by the Registrar. Withdrawal from classes, tuition refunds, and course drop requests will not be permitted after the seventh week of the trimester,
except in the case that the student is withdrawing from AIMC Berkeley. (Please see Withdrawing from AIMC Berkeley on page 71 of this handbook for more information.)

Auditing

Degree-Seeking students may audit selected lecture courses with permission from the Academic Dean. Students may not audit clinical practice classes under any circumstances. To “audit” means to listen. Students auditing a class may not actively participate in class discussions, quizzes, examinations, or projects. The fee for auditing a course is one half the cost of standard tuition. Students wishing to audit a course must indicate this on their Registration Form. Students do not receive academic credit for an audited course.

Switching from For-Credit to Auditing

Any student enrolled in a class for credit who wishes to audit it instead must switch before the end of the second week of classes and in accordance with the Add/Drop/Withdraw policies outlined above. The student must first drop the class as a for-credit class, and then add it as an audit class. In such cases, the student will receive a refund of for-credit tuition already paid, pro-rated by the date of transition to audit status. The student will be responsible for paying 100% of the auditing fee for the course with no pro-rated reduction for class sessions already attended under the former for-credit status.

Switching from Auditing to For-Credit

Any student auditing a class who wishes to take that class for credit instead must switch before the end of the second week of scheduled classes and in accordance with the Add/Drop/Withdraw policies outlined above. The student must first drop the class as an
audit class, and then add it as a for-credit class. The student is responsible for paying 100% of the for-credit tuition for the course.

Cancellation Rights

A student has the right to cancel his or her enrollment agreement at any time. In order to withdraw, a student must file a Withdrawal Petition with the Registrar at the following address: 2550 Shattuck Avenue, Berkeley, CA 94704-2724. Withdrawal becomes effective on the date that written notice is received by the Registrar.

Refunds

Lecture Course Tuition Refund
If a student withdraws from or drops a lecture course prior to more than 50% completion of the course (except for one-day classes), or withdraws from his or her enrollment prior to the end of the seventh week of the term, AIMC Berkeley will refund tuition on a pro-rated basis provided that the student has completed less than 50% (fewer than seven weeks) of the course of instruction.

Refunds for lecture courses are calculated as follows: Divide the unit total cost of the course by 14 to determine the weekly rate of instruction. Pro-rated tuition is determined by multiplying the weekly rate by the number of weeks or classes that have passed in a term before the date of withdrawal. The refund is the remainder when pro-rated tuition is subtracted from total tuition for the class. Any tuition paid over this amount is refunded to the student by check during the next billing cycle. For example, a student paid $474 for a 14-week course and submitted a drop form during week six (6).

$474 / 14 weeks = $33.86 (the weekly rate of instruction for the course)
$33.86 / 6 weeks = $203.16 (pro-rated tuition)
$474 – $203.16 = $270.84 (student’s total refund)

After the student has completed more than 50% of the course of instruction (after the seventh week), he or she is no longer entitled to a refund.

Clinic Tuition Refund
If a student withdraws from or drops clinic hours prior to the second week of classes, AIMC Berkeley will refund tuition for the remaining hours. Clinic shifts may not be dropped without penalty after the second week of classes.

Supplies Refund
All sales for classroom supplies, clinic intern equipment, and herb samples are final.
